FAQ
Invoice & billing automation FAQs
What does invoice and billing automation cost?
Between $600 and $3,000 USD, or A$800 to A$4,500. The low end covers invoice generation and reminders connected to one accounting package. The high end handles multi-currency invoicing, partial payments, credit notes, and reconciliation against several bank accounts. Currency handling is a common hidden cost, so tell us early if you bill clients in more than one currency.
Which accounting systems do you integrate with?
QuickBooks, Xero, Zoho Books and Tally are the common ones, plus FreshBooks for smaller clients. Each has a documented API, and we work within its limits rather than writing directly into its database, which is unsupported and breaks on their upgrades. If you are on a system with no API, we can still generate invoices and push a CSV import file, but reconciliation stays partly manual.
Can you match payments automatically when clients pay the wrong amount?
Usually yes, within tolerance rules we agree with you. A payment within a small percentage of the invoice total, from a known payer, referencing a matching invoice number can be closed automatically. Anything outside those rules goes to a review queue rather than being guessed at. Underpayment is the awkward case, and the rule is that a human decides whether to write off the difference or chase it.
Will this work with our bank feeds?
In Australia, bank feeds through an accounting package generally work well. In Bangladesh, most banks still expose statements as PDFs rather than APIs, so we parse those on a schedule or work from the export your accountant already downloads. It functions, but it is less elegant than a direct feed and we would rather say that now than discover it in week three.
How long does it take?
Two to four weeks for generation, reminders and one accounting integration. Reconciliation adds another two weeks because it needs a full month of real transaction data to tune the matching rules. We run the automation alongside your current process for one billing cycle before switching off the manual one. That cycle is the only way to prove nothing has been double-invoiced.
Who owns it, and what happens when tax rules change?
You own the templates, the code and the account connections. Tax rates, invoice numbering requirements and e-invoicing mandates do change, and updates for those are new work rather than defects. We will flag changes we know about, but keeping up with your jurisdiction's rules stays your accountant's responsibility. We build what they specify.
What support is included after launch?
Thirty days covering defects, such as a reminder firing on a paid invoice or a sync dropping a credit note. Those get fixed at no cost. After that, changes to templates, reminder wording or adding a new entity are quoted individually, usually a few hours of work each. Ongoing support is available monthly if you would prefer a fixed arrangement.
